As we head into Semester 2, a reminder to checkout our recently updated guidance<\/strong><\/a> on capturing attendance for supervisor meetings (UG and PGT only). The Academic Engagement Framework sharepoint site<\/a><\/strong> provides more details on monitoring attendance at these sessions, including how to update the project team with a list of project\/dissertation units, when attendance needs to be captured, Required vs Optional sessions, and how sessions feed into the Engagement Review process.<\/p>\n

Why is it important to capture attendance at Supervisor meetings on Jisc?<\/h3>\n

Recording attendance for Supervisor meetings within Jisc makes our attendance and engagement data more complete improving our view of Level 6 and PGT engagement, and also allows student activity to be monitored via the Engage app which feeds into the student engagement review process. The data can also be reviewed in Jisc by teaching staff on the unit and Programme Leads.<\/p>\n

How is the process for taking attendance at Supervisor sessions different?<\/strong><\/h3>\n

Attendance at timetabled teaching sessions is captured by sharing a 6 digit code with students during the session. As Supervisor meetings for projects and dissertations are not timetabled, attendance for these events is logged by manually creating an event on Jisc associated with the Project or Dissertation unit. Student names are added (groups or individuals) to the event and attendance set as \u2018Attended\u2019 or \u2018Not attended\u2019. To record attendance for a Supervisor meeting you will need to be assigned to the Project\/Dissertation unit in Brightspace with a Unit Lead or Teaching Team role.<\/p>\n

Do I need to share a code with students for a Supervisor meeting?<\/h3>\n

No, you can create the event prior to or after the meeting has taken place and update the register manually. A code will be created alongside the event but there is no need to share this with students.<\/p>\n

Can I create a single event for multiple students on the same day?<\/strong><\/h3>\n

Yes, if you see several students on the same day you can create one event to check them into (even if this is on different units). Create the event to run from 09:00-17:00 to cover the whole day then add the relevant student names to the register. You can mark their attendance in one go by clicking on the\u00a0+<\/strong>\u00a0icon next to \u2018Amend\u2019 in the register.<\/p>\n

What if students don\u2019t attend a scheduled meeting?<\/h3>\n

If a student doesn\u2019t attend a scheduled meeting, the event should still be recorded with the student set as \u2018Not attended\u2019 if the meeting is ‘required’. If the student’s attendance at the meeting is optional then set them as ‘Not required’.<\/p>\n

Should I populate the register for the event from the unit classlist?<\/h3>\n

No, add the name of the student(s) who were scheduled to be at the Supervisor meeting individually. When you create your event and associate it with a unit make sure you\u00a0untick\u00a0<\/strong>\u2018Populate register from module(s)\u2019.
\nIf you do populate your event from the module (unit classlist) any students who weren\u2019t required to attend will need to be retrospectively set as \u2018Not required\u2019 otherwise the engagement data will show the students as having missed a session as their attendance will default to \u2018Not attended\u2019.<\/p>\n

Can I link my created event to multiple units?<\/h3>\n

Yes, when creating an event for multiple students you can select all the relevant Project\/Dissertation units from the list. You don\u2019t need to know which individual unit a student is on \u2013 their attendance will only be recorded against the unit that they are enrolled in, even if you select multiple Project\/Dissertation units.<\/p>\n

If I create a session with multiple students, do I need to set the attendance for each student individually?<\/h3>\n

If your event was created for multiple students you can mark their attendance in one go by clicking on the\u00a0+<\/strong>\u00a0icon next to \u2018Amend\u2019.<\/p>\n

How do I adjust the register for a supervisor meeting?<\/h3>\n

To find the register, go to the \u2018Events\u2019 page and navigate to the day when the meeting took place. Or alternatively go via \u2018Units\u2019 and open the register from the unit\u2019s \u2018Attendance grid\u2019 report. You can modify a student\u2019s attendance status at any time \u2013\u00a0How to view and update attendance registers<\/a>.<\/p>\n

How can I view the attendance data for a student at their supervisor meetings?<\/h3>\n

Student attendance at supervisor meetings is captured via their Project or Dissertation unit. You can view this attendance data by clicking on \u2018Units\u2019 in the left hand menu in Jisc and searching for the relevant unit. The \u2018Attendance Grid\u2019 report for the unit will show attendance for each session. The overall \u2018Sessions attended\u2018<\/strong>\u00a0percentage includes other taught sessions for the unit that the student has been scheduled to attend.<\/p>\n
